WHITE LAKE WATER FESTIVAL COORDINATOR BEING SOUGHT

The Elizabethtown-White Lake Area Chamber of Commerce is accepting proposals for a part-time contracted coordinator to manage the White Lake Water Festival in 2024. The position is responsible for serving as a liaison between the Chamber, the Town of White Lake and the Water Festival Committee and will be the main public contact. The position is a contracted hire for 6 months with an estimate of 200-250 hours. DUTIES OF WHITE LAKE WATER FESTIVAL COORDINATOR
The White Lake Water Festival Coordinator will be contracted by the Elizabethtown-White Lake Area Chamber of Commerce for a period of 6 months from January to June 2024. The position is mainly responsible for ensuring a smooth transition in the administration and management of the Water Festival by serving as a liaison between the Chamber, the Town of White Lake and the Water Festival Committee. This position will be the main public contact. The position reports to the Chamber of Commerce Manager and the WLWF Committee Chairperson.
DUTIES:
FINANCES
- Work with Committee to develop a proposed budget.
- Collect forms and payments for sponsors, vendors and parade and submit to Chamber in an organized manor. Maintain accurate reports on those revenues.
- Assist committee in negotiation of contracts for entertainment and logistics. Present contracts to Chamber staff for processing and signature.
- Ensure payment to all vendors.
- Ensure proper event insurance and BMI licensing are obtained.
MARKETING/PROMOTION
- Serve as the main public contact by answering and returning inquiries including press and media requests.
- Update the website as information is available.
- Work with the Chamber’s Social Media Coordinator to schedule posts and message.
- Oversee production of brochure and flyers for Committee approval. Submit to Chamber for approval.
- Coordinate the purchase and sale of Water Festival merchandise.
SPONSORSHIP
- Work with the Committee to revise sponsorship form and collect sponsorships
- Ensure that all benefits of sponsorship levels are fulfilled.
VENDORS: Work with Goldston’s Beach
- Revise vendor forms.
- Review and approve vendor applications. Confirm with Bladen County Environmental Health Department.
- Review layout
- Identify volunteers to work vendor load-in and out.
ENTERTAINMENT: Work with Goldston’s Beach
- Submit contract to Chamber for appropriate approval, obtain w-9 and process for payment.
- Publicize
PARADE:
- Work with Committee to revise parade entry forms, disseminate and collect.
- Work with Camp Clearwater on the line-up
LOGISTICS:
- Reviews with the WLWF committee and the Town Lake on street closing, mapping, security needs, permits required and other logistical needs.
